Manage Time Daily in 5 Steps – Part 2

Step 3: What steps are needed to achieve these goals?
Once you are clear that the goal is achievable, you need to detail the necessary steps to be taken in order to achieve this goal. Outlining the steps provide more clarity as to what you can expect in order to achieve your goal and make it easier to manage time later. For example, let’s say your goal is to complete a book report. Now, the necessary steps to achieve this goal is:

  1. Read Book
  2. Outline major points of the book
  3. Complete Introduction & Conclusion
  4. Complete Body
  5. Editing & Compiling

So as you can see, when you have a clear goal (e.g.: Complete book report) you will be able to chunk the tasks into more manageable pieces. This way you will be able to give each task the necessary attention. Beware of chunking too much since this will only clutter your day.

Step 4: Schedule them
Now that you know what steps need to be taken, all you need to do is schedule them into your planner. Allocate the expected completion time for each task and then schedule it. This way, you can manage time much more effectively compared to a “to-do” list.

  1. Read Book – 3 hours
  2. Outline major points of the book – 1hour
  3. Complete Introduction & Conclusion – 1 hour
  4. Complete Body – 4 hours
  5. Editing & Compiling – 2 hours

Step 5: Leave Buffer Space
This is where most people fail to manage time. Never expect everything to run smoothly. Always leave some buffer time in case your planned task takes more time than expected. If you have a packed schedule a single change in timing could result in all your other plans coming undone.
